Create, send & evaluate Supplier Requests

Here you will learn how to create and send Supplier Requests, review responses and then close the Request.

Create a Request

Self-disclosures can be created from different starting points.

  1. Open the Request overview (if Article Requests are activated: "Supplier Requests")

  2. Click "Create new" at the top right

  3. In the "Create new Request" dialog, select a previously created form under "Select form". You can read how to create forms here.

  4. Adjust the "Title" if needed (it is taken from the form name) and click "Create Request"

Option 2: Duplicate an existing Request

  1. Open the Request overview

  2. Click the three dots ("More actions") next to the name of the Request

  3. Select "Duplicate" — a copy is created with the status "Draft"

Option 3: Supplier overview

  1. Open the Supplier overview

  2. Select the Suppliers to whom you want to send a Request (max. 1,000)

  3. Click "Request" in the action bar at the bottom and select:

    • "Create new Request" — select the form and title, then define the Contacts in the second step, or

    • "Add to existing Request" — the Suppliers are added to an existing Request

Option 4: Article overview

  1. Open the Article overview

  2. Select the Articles for which you want to create a Request (max. 200)

  3. Click "Create Request" in the action bar at the bottom and select the form and title — the selected Articles are added to the Request as items. If Article Requests are activated, the action is called "Request"; select "Supplier Request" or "Article Request" there.

Configure the Request, adjust the form and add participants

Creation runs as a three-step wizard: Setup → Form → Participants.

1. Setup

Fill in the "General information"

  • Title — is taken over automatically but can be adjusted.

  • Responsible — is automatically filled with your name and can be changed to any registered user. This person is shown to the Supplier as the contact person.

  • Due date — optional, today at the earliest. The date is shown in the email to the Supplier. If a due date is set, a reminder is sent automatically one day before.

  • Team (optional) — other people also see the Request in the "My Requests" tab.

If your form contains additional internal information (e.g. a project number), fill it in here as well.

Note: The automatically generated email with the link to the Request cannot be customized.

2. Form

  1. Open the "Form" step

  2. Depending on the form, you can add or edit items, Documents or properties here. It is helpful to start the Request with a "Message to the Supplier" so that Suppliers know which information they should provide.

3. Participants

Click "Add suppliers" or select a saved Supplier list via the arrow next to it. If you started the Request from the Supplier overview, this step is skipped.

Then click "Publish request" to send the Request. Even after sending, you can add further Suppliers. Removing Suppliers, however, is only possible before publishing.

Preview a Request before publishing

Before you publish a Request, you can open a preview that shows how the Supplier will see the form.

  1. Add at least one Supplier in the Participants step

  2. Click the arrow next to "Publish request" and select "Preview before publishing"

  3. The form opens in the Supplier view, where you can check all sections

💡 The preview is read-only — changes are not possible in preview mode.

After publishing: Overview, Responses and Form

As soon as a Request is published, the detail view switches to three tabs at the top:

  • Overview — table of all participants with Contacts, status, review status and the date of the last and next reminder. From here, you also trigger all participant actions (send reminder, edit response, change responsible — see below). Clicking a row opens this Supplier's response in the "Responses" tab.

  • Responses — shows the Suppliers' responses individually; use the Supplier selection to switch between responses. After reviewing, set the review status to "Reviewed" in the "Review" section.

  • Form — the Setup, Form and Participants steps of the Request.

Edit a Request

Even after publishing, you can adjust the general information (Title, Responsible, Due date, Team), the "Message to the Supplier" and the Documents in the "Form" tab. The questions themselves come from the form and cannot be changed in the Request; Article items are locked after publishing.

Change the due date

  1. Open the Request and switch to the "Form" tab

  2. Change the "Due date" (today at the earliest)

Send reminders

Tacto automatically reminds Suppliers with outstanding responses one day before the deadline — provided a due date is set and no reminder has been sent on that day yet. In certain cases, it can make sense to send a manual reminder earlier, for example if:

  • a Supplier can no longer find the email about the Request and asks for it to be resent,

  • you know from experience that a Supplier only responds after several reminders,

  • the Supplier asks for the Request to be resent from a personal email account for compliance reasons.

Individually: Open the "Overview" tab, click the three dots in the row of the desired Supplier and select:

  • "Send reminder" — an email is sent to the Supplier directly via the Tacto app (max. one reminder per day), or

  • "Send email" — your default email program opens with a pre-filled subject and a link to the Request, so you can personalize the email. The link is also copied to the clipboard.

For several Suppliers at once: In the "Overview" tab, select several Suppliers using the checkboxes and use the bulk action "Send reminder". Contacts that have already been reminded today are skipped.

You can also see the date of the last and next reminder in the "Overview" tab.

Edit a Supplier response / enter it on behalf of the Supplier

Some Suppliers cannot use external platforms such as Tacto due to internal policies and send their data by email instead, for example. In this case, or if you want to correct a response, you can enter the information in Tacto yourself:

  1. In the "Overview" tab, open the three dots in the Supplier's row and select "Edit response" (alternatively in the "Responses" tab at the top right via "More" → "Edit response")

  2. The Request opens in the Supplier view

  3. Enter the data in the corresponding fields or make the desired changes

  4. Submit the Request on behalf of your Supplier

Change responsible

In the "Overview" tab, you can define individually for each participant who is internally responsible for the Request to this Supplier — independently of the responsible person stored in the setup.

  1. Open the "Overview" tab

  2. Click the three dots in the Supplier's row

  3. Select "Change responsible" and choose the responsible person

Close a Request

Option 1:

  • In the Request overview, select the checkbox to the left of the Request

  • Click "Close" in the action bar at the bottom

Option 2:

  • Three dots next to the Request → select "Close"

Option 3:

  • Open the Request and click "Close Request" at the top of the detail view

When closing, you choose between "Close without message" and "Close with message". With the latter, the Suppliers are informed by email; for this, you select a reason and can optionally add a message.

Notes

  • Requests cannot be closed for individual Suppliers, and after publishing, individual Suppliers cannot be removed from a Request. A Request can only be closed as a whole for all Suppliers.

  • Closed Requests cannot be reopened. Requests cannot be deleted.

  • The language of the Request email is based on the language stored for the Contact; if none is stored, on the Supplier's country, otherwise English. If the language is not English, the email also contains an English version. You can configure languages for Suppliers here.

Chat with Suppliers in a Request

In Requests – both Supplier and Article Requests – a chat function per Supplier is available to you once the Request is published, if activated for your account. Communication about a Request thus takes place in Tacto and no longer in your email inbox.

What this means in practice:

  • A chat area in the detail view of the Request, with one conversation per Supplier.

  • Suppliers reply from the Supplier app or directly by replying to the email.

  • Attachments are possible in both directions; you see unread messages in the Request overview in the "Unread messages" column.

Send a chat message

  1. Open the detail view of the Request

  2. Open the chat area for the desired Supplier

  3. Write your message and attach a file if needed

Q: How does the Supplier find out about a new message?

A: The Supplier is notified by email and can respond from the Supplier app or by replying to the email. You yourself are notified in Tacto.

Q: Is there one conversation per Request or per Supplier?

A: Per Supplier – this way the exchange always stays with the right Supplier.
