Create, send & evaluate Article Requests

Here you will learn how to create Article Requests, send them to Suppliers and review and adopt the responses.

Create an Article Request

Open Requests → Article Requests and create a new Request – either "Create from scratch" or "From template". Alternatively, select the desired supply sources in the supply source overview and start a new Article Request via "Request" → "Article Request". The wizard has three steps:

  1. General: define the Request name, Deadline, Responsible and a multilingual Invitation Message to the Suppliers

  2. Supply sources: define supply sources via "Select articles", "Select Suppliers" or "Enter ERP reference numbers". Under "Define the Suppliers' response option", you define for each field how the Supplier responds:

    • "Use the existing Supply Source value" — the Supplier sees the stored value and reviews it ("Review value and answer" or "Review value – answer optional")

    • "Enter a new value – nothing prefilled" — the stored value is not shown

    • "Use a target value from an article field" — the Supplier confirms or rejects a target value ("Confirm or reject target value") or only sees it ("Show target value only")

Via "Add document type column", you also request Documents. Mandatory columns are marked with *.

  3. Participants: choose Contacts and language per Supplier

In the review step, you see which Supplier receives which Articles. Each Supplier receives exactly their own scope.

The Supplier responds

The Supplier opens the Request via a magic link and fills in the Article table. Instead of entering each cell individually, they can upload a data sheet, certificate or Excel file – if AI-assisted filling is activated, Tacto Intelligence assigns the document to the right Articles and pre-fills the table. AI-filled cells are highlighted and are reviewed by the Supplier before submitting.

Review and apply responses

In the Request, the tabs Overview, Answers and About this Request are available to you:

  • Overview: participants, sending and processing status as well as Deadline

  • Answers: comparison matrix per Supplier with deviation indicators compared to the target value ("Matches the target", "Deviates from the target", "No target set"). For each cell, you see "Target (at publish)", "Supplier answer" and "Current stored value"

With "Apply answers", you write the reviewed values in bulk to the properties of the supply source; the response is marked as reviewed at the same time. If Documents were requested, you can view them beforehand via "Review documents". A property history is kept for every applied value (previous value → new value). The "Changed by" column shows whether the change was made by a user or by the System.

Change the deadline

  1. Open the published Article Request in the "Overview" tab

  2. Click the pencil icon ("Edit deadline") next to "Deadline"

  3. In the "Change deadline" dialog, select a new date (today at the earliest)

Known limitations

  • Only existing supply sources can be requested; no new supply sources are created in the wizard

  • Applied responses are written exclusively to the properties of the supply source, not to Article properties or to the ERP system

  • The Supplier page is for submitting only – saving as a draft in between is not possible

  • Article Requests cannot be duplicated

Frequently asked questions

Q: Is this just a Supplier Request with Articles in it?

A: No. It is a separate Request type with its own list and its own wizard. A Request never mixes questions at Supplier and Article level.

Q: Does a Supplier see the Articles or responses of other Suppliers?

A: No. Each Supplier only sees their own supply sources. The comparison only takes place on the procurement side.

Q: Where does the response end up – on the Article or on the supply source?

A: On the supply source (Supplier-Article relationship), and only after procurement has applied it. Article properties are not written.

Q: Do Suppliers have to enter everything manually?

A: No. If AI-assisted filling is activated, they can upload a data sheet, certificate or Excel file; the table is pre-filled and reviewed before submitting.
