Start Onboarding from an application

Learn how to start an Onboarding from a reviewed application and send a pre-filled Request to the Supplier.

Overview

From a reviewed application, you start the Onboarding, which creates the Supplier and sends an already pre-filled Request.

What this means in practice:

  • You create a new Supplier or link the application to an existing one

  • The pre-filled values come from the application, public research and the Tacto Supplier Network

  • The Supplier receives their self-disclosure already filled in and only needs to review, complete and submit it

  • After the start, the application moves to the "Onboardings" tab

What problem does this feature solve?

The transition from application to Onboarding should happen without duplicate data entry – for you and for the Supplier.

Typical use cases

  • Starting an Onboarding directly from a newly received application

  • Linking an application to an already existing Supplier

  • Sending a pre-filled self-disclosure to the applicant contact

How it works

1. Prerequisites

  • You have the permissions to create and edit Suppliers, Contacts and Requests as well as to publish Requests

  • A default Onboarding template is set under "Configure Onboarding" → "Onboarding forms"

  • The automatic research for the application is complete

2. Start Onboarding

  1. In the header of the application, select the "Start Onboarding" action.

  2. "Configuration" step: Choose "Create a new Supplier" or "Link to an existing Supplier" (possible duplicates are suggested first). Choose the Onboarding template and the due date (default: 30 days).

  3. "Review details" step: All pre-filled values are preselected and applied directly at the start. If you remove a checkmark, the value is not applied immediately – the Supplier sees it in their form as "prepared" and reviews it themselves. The "Sources" button for each section shows where the values come from.

  4. "Confirm" step: Check the summary and click "Start Onboarding and send Request". The Supplier and Contact are created or linked, and the Request is sent to the applicant contact.

3. What the Supplier receives

  1. The Supplier receives an email with their personal link to the Request.

  2. They open their already pre-filled self-disclosure, review, correct and complete it.

  3. By submitting, they confirm the information; a separate confirmation step is not necessary.

4. Complete the Onboarding

  1. After submission, the Onboarding has the status "Awaiting review".

  2. As soon as you have reviewed the Supplier's response, the Onboarding is complete ("Reviewed").

Permissions & access

  • Starting an Onboarding is permission-controlled. If the action is missing for you, please contact your Tacto administrator.

  • If no default Onboarding template is set, the action is greyed out.

Known limitations

  • Applications with a started Onboarding can no longer be deleted.

  • Rejected applications must first be reopened via "Withdraw rejection".

  • Bank details are deliberately not pre-filled and are always provided by the Supplier themselves.

  • Changing the template or the linked Supplier reloads the "Review details" step, so no selection carries over across templates.

  • Without a due date, no reminders are sent to the Supplier.

Frequently asked questions

Q: What happens if the application information differs from the research results?

A: The applicant's own information always takes precedence; deviating research or network data is not suggested, but shown as an open point in the dossier. When linking to an existing Supplier, you choose for each field between "Apply the proposed value" and "Keep the current value".

Q: Who receives the Onboarding Request?

A: The recipient is always the applicant contact from the application. If this email address already exists for the linked Supplier, the existing Contact is used.

Q: Does the Supplier have to enter all their data again?

A: No. The self-disclosure is pre-filled with the information from the application and research; the Supplier only reviews and completes it.

Q: Can I cancel an Onboarding that has been started?

A: Yes, via "Cancel Onboarding". The Request is closed and the Supplier is informed; the Onboarding cannot be continued afterwards.
