Overview
You find every submitted application under "Applications & Onboarding" and review it based on an automatically created Supplier dossier.
What this means in practice:
Submitting automatically starts research from public sources, a web search and the Tacto Supplier Network
An agent assessment critically summarizes the application and names points to check
Duplicate detection points out Suppliers that may already exist
The agent only gives recommendations – the decision remains with you
What problem does this feature solve?
New Suppliers should be pre-checked efficiently and with evidence, without you having to compile register, sanctions and duplicate checks manually.
Typical use cases
Structured pre-check of a new applicant
Recognizing whether an applicant already exists in your Supplier base
Traceable assessment based on documented sources before working together
How it works
1. Prerequisites
The application has been fully submitted by the Supplier
The agent assessment is active by default; it can be switched on and off under "Configure Onboarding" → "Agent assessment"
2. Open an application
Open Supply chain data → Suppliers → Applications. The "Applications" tab shows all submitted applications, the "Onboardings" tab the Onboardings that have already been started.
The "Agent status" column shows whether an application is still being enriched or is "Ready for review".
Open an application. In the context panel, in the "Application" section, you see status, Responsible, Supplier and Source, among other things, and below that the applicant's information (Products / services, Pitch, Attachments), the applicant contact and the "Timeline".
Use the navigation at the top right to move to the previous or next application.
3. Review the dossier and assessment
Take a look at the "Supplier dossier". It is built from public sources (GLEIF LEI register, EU VAT register (VIES), EU and UN sanctions lists, EU tenders (TED)), a web search and the Tacto Supplier Network. The "Sources" button on a tile shows where the information comes from.
Read the agent assessment with the tabs "Review notes", "Assessment basis" and – if you have stored your own steering – "Assessment based on your guidance".
Pay attention to the duplicate detection: the "Supplier" field shows "New Supplier" or "Potential duplicate" including the match reason (e.g. "Matching VAT ID", "Same email domain", "Same website domain" or "Same company name").
4. Decide
If the applicant is a good fit, start the Onboarding via "Start Onboarding".
If not, reject the application via "Reject". The applicant receives a rejection in their language; a rejection can be undone via "Withdraw rejection".
Use "Assign responsible employee" to define who takes care of the application.
Permissions & access
Rejecting and assigning responsible persons require the permission to edit Suppliers.
Deleting applications requires the permission "delete Suppliers".
The agent's custom steering, the duplicate candidates and the agent assessment are visible only to your team; applicants see none of it.
Known limitations
The agent never decides – it does not reject or accept any application and does not create Suppliers.
A duplicate notice does not block an application and does not merge anything automatically.
Duplicate detection only matches against your own Supplier base.
Bank details never appear in the dossier; they are always confirmed by the Supplier themselves.
Frequently asked questions
Q: Do I have to start the research for an application manually?
A: No. It starts automatically when the application is submitted; the result is usually available after about five minutes. The status is visible in the list and on the detail page.
Q: What do the four states of the agent assessment mean?
A: "No material concern", "Review required", "Material concern" or "Cannot assess" if the basis is too thin. Every finding is backed by a source.
Q: What does the "Potential duplicate" notice mean?
A: Tacto has detected a Supplier that may already exist. The notice does not block anything; when starting the Onboarding, you can link the application to the existing Supplier.
Q: Can I control what the agent pays attention to?
A: Yes. Under "Configure Onboarding" → "Agent assessment", you store your guidelines in the "Your steering" field. Applicants never see them.
