The Supplier profile

Learn which information and tabs the Supplier profile offers and how to work with them.

Overview

The Supplier profile brings together all information about a Supplier – from master data, activities, Contacts and Documents to opportunities, Evaluations and tenders – in one view with several tabs.

Typical use cases:

  • Check or update a Supplier's master data

  • Document conversations and emails with the Supplier

  • Get an overview before a meeting or negotiation

Prerequisites

  • Permission view Suppliers

  • To edit master data and activities, additionally: edit Suppliers

Tabs in the Supplier profile

The profile is organized into tabs. Which tabs you see depends on the activated modules and your permissions; depending on the configuration, further tabs may be added (e.g. Emails). Expand a tab to learn more:

Overview – Highlights, activities, opportunities, key figures and master data

The Overview tab is the start page of the profile. From top to bottom, you will find the following sections – which of them are shown depends on your modules and permissions.

Highlights

Summary: a short description of the Supplier created by Tacto Intelligence, plus one or two Sectors (based on the WZ 2025 classification) as tags.

  • Data basis: publicly available information from a web search for the Supplier's name, website and address. Internal data from Tacto (e.g. orders or notes) is not used. If the search finds nothing, the message "Nothing public found about this supplier." appears.

  • Language: The summary is created in the language of your user account.

  • Updates: If the Supplier's name, website or address changes, the summary is automatically regenerated the next time it is opened.

  • Copy and feedback: You can copy the text. Use thumbs up/down to give feedback (only with the permission edit Suppliers); for "Not helpful", you can optionally give a reason.

  • Hide: Via ⋯ → Hide summaries for me, you hide the card for yourself. In the feedback dialog, you can also deactivate the feature specifically for this Supplier or for all Suppliers. The setting applies only to you and only in the current browser.

The summary is AI-generated and may contain errors – check important information if necessary.

Price development: shows how prices at this Supplier have changed in the current year compared to the previous year. The arrow icon opens the price development in Analytics. Visible with the permission view Analytics dashboards.

Further sections

Below follow the attribute sections that your organization has configured for the profile view.

Sidebar: maintain master data and attributes

  1. Edit the attributes directly in the right sidebar.

  2. View all properties opens the complete list of all attributes. Note: Depending on the configuration, this button is only visible to users with the permission delete Suppliers.

  3. Changes require the permission edit Suppliers.

Activities – meeting notes, emails and responses to tenders and Requests

In the Supplier profile, the Activities tab brings together all documented interactions with a Supplier – phone calls, video calls, in-person meetings, archived emails and responses to tenders and Requests. Tacto automatically creates an AI summary for every meeting note; the notes are also used by the AI agents (price defense, negotiation preparation).

What this means in practice:

  • You create meeting notes (phone call, video call, in-person meeting) directly in the Supplier profile.

  • You archive emails manually by uploading an .eml or .msg file via New activity → Email; every archived email contains the original message including attachments, the recognized participants and an automatic AI summary.

  • Responses to tenders and Requests are automatically listed as an activity in the timeline.

  • An activity filter narrows down the different activity types.

What problem does this feature solve?

All touchpoints with a Supplier – conversations, emails and tender responses – are in one place instead of being spread across mailboxes and individual modules.

How it works

1. Prerequisites

  • The SRM module must be activated in your account.

  • Permission access Activities – without it, activities are completely inaccessible.

  • To create, edit and delete (meeting notes as well as email archiving), additionally the permission edit Suppliers.

2. Create a meeting note

  1. Open the Supplier profile of the Supplier in question.

  2. In the Overview tab (Activities section) or in the Activities tab, click New activity.

  3. Choose the meeting type: Phone call, Video call or In-person meeting. The note opens in full-screen view; you are already entered as a participant.

  4. Optionally add a title and adjust the participants (Tacto users and Supplier Contacts), the type and the date in the sidebar under Properties. Meetings with a date in the future appear under Upcoming activities.

  5. Capture the meeting content in the text editor. Add formatting and images directly in the text; attach further files via the Files field in the sidebar.

  6. With the "@ function", you link Tacto objects and Tacto users, for example:

    • Suppliers, Supplier Contacts

    • Articles, Categories

    • Documents

    • RFQs/Requests

    • Tasks and Findings

When you mention a Tacto user in a note, this person automatically receives a notification in Tacto.

  7. The note is saved automatically — no manual saving required.

As long as the note is still empty (no title and content), you can apply a meeting template in the editor under Templates. You manage templates under Settings → Tools → Notes → Meeting templates (permission view Meeting Templates or manage Meeting Templates). The same template and table function is also available for negotiation notes and Tasks.

3. Archive an email

  1. Open the Supplier profile and switch to the Activities tab.

  2. Click New activity → Email, select the .eml or .msg file in the Upload email dialog (by clicking or by drag and drop into the upload field) and click Upload. Emails that have already been uploaded are detected as duplicates and rejected.

  3. The email appears in the timeline with participants, attachments and AI summary.

4. View responses to tenders and Requests

  1. Open the Supplier profile and switch to the Activities tab.

  2. Use the activity filter to narrow down to the desired type (e.g. responses to Requests).

5. Search and filter activities

The search covers:

  • Title and text content of meeting notes

  • Subject and text of archived emails as well as the title of the tender or Request for their responses

Matches are shown with a preview of the matching text passage. In addition, you can filter the list by:

  • Activity (Phone call, Video call, In-person meeting, Email, RFQ, Request – RFQ and Request only with the permission view Requests)

  • Participants

Here is how:

  1. Open the Supplier profile and switch to the Activities tab.

  2. Enter your search term in the Search activities field above the list, or use the Activity and Participants filters above the list.

  3. The list shows the matching entries with a preview of the match.

6. Create Tasks directly from a meeting note

  1. Open the meeting note and click Create task in the Tasks section of the sidebar.

  2. Fill in the Task dialog (e.g. title, due date, responsible person). Alternatively, link an existing Task via Link tasks instead.

  3. The Task is immediately linked to the meeting note and visible in the Tasks module. Tasks and opportunities also link back to the related meeting note via the sidebar.

7. Click-to-call: start a note from a Contact profile

Click the phone number in a Supplier Contact's preview card — Tacto automatically opens a new meeting note of the type Phone call, in which this Contact and you are already entered as participants.

Use by AI agents

If the Negotiation Cockpit is activated, the following applies:

  • The price defense agent and the negotiation preparation agent automatically access the meeting notes — the more you document, the more precise the answers become.

  • These agents do not evaluate archived emails, however.

You document the actual negotiation preparation in the negotiation notes.

Permissions & access

  • View: Users with the permission access Activities see the activity timeline (meeting notes, archived emails, tender/Request responses) in all Supplier profiles they have access to. Without this permission, the tab, section and references are not visible.

  • Create, edit, delete: additionally the permission edit Suppliers. Without it, New activity is greyed out and emails cannot be archived/deleted.

Known limitations

  • Search and filters apply only within the open Supplier profile, not across all Suppliers.

  • Only the title/text content of meeting notes and the subject/text of emails are searched – AI summary, files and participant names are not searched (participants have their own filter).

  • Responses to tenders and Requests are found via the search field only by the title of the tender/Request; use the activity filter in addition.

  • There is no mailbox connection to Outlook or Gmail; emails are archived manually one by one. Exception: emails processed by the price defense agent automatically appear in the Supplier's activities.

  • Archived emails are read-only; you still reply in your email program.

Frequently asked questions

Q: What is the difference between meeting notes and negotiation notes?

A: They serve different purposes:

  • Meeting notes document conversations with Suppliers (phone calls, video calls, in-person meetings) — they always have a date and participants.

  • Negotiation notes are intended for negotiation preparation.

  • General Supplier information (e.g. Supplier strategy, change of ownership) belongs in custom attributes or free-text fields — not in meeting notes.

Q: Are activities (meeting notes) available if only the Analytics module is in place?

A: No. They are only available to customers with the SRM module activated.

Q: Can savings be linked to a meeting note?

A: Yes. In the Savings section of the sidebar, you link existing opportunities or log a saving directly via Log savings via Opportunity. If you do not select an existing opportunity, Tacto automatically creates a new one.

Q: Which files can be archived as an email? Is this a mailbox integration?

A: Emails from Outlook (.msg) and .eml files, each including attachments. It is not an automatic mailbox connection – you decide yourself which email belongs to the Supplier history and archive it manually one by one.

Q: What happens to the former "Meetings" tab?

A: The tab is now called Activities for all organizations and contains meetings, emails and tender responses in one shared timeline. Existing meeting notes are retained.
