Create and complete a Supplier Evaluation

Here you will learn how to create, complete, conclude and share Supplier Evaluations with Suppliers.

Why use Supplier Evaluations in Tacto?

  • Objective basis for decisions: Evaluate Suppliers against defined criteria such as quality, delivery reliability or communication.

  • Transparency & comparability: All Evaluations are documented centrally and can be traced at any time.

  • Individual customization: Flexibly adapt evaluation criteria and weightings to your requirements.

  • Efficient collaboration: Easily involve internal stakeholders in the evaluation process.

Tip – Use objective delivery performance data: For quantitative criteria such as "Delivery reliability" or "Quantity reliability", you can draw on an objective data basis from goods receipt and order data. You can find the KPIs "Delivery reliability" and "Quantity reliability" as well as the "Delivery performance" chart (lead time, delivery reliability and quantity reliability over time) in the Supplier profile on the "Negotiation" tab – provided delivery performance analysis is enabled for your organization.

Create Supplier Evaluations

Every user with standard permissions can create, edit, conclude and share Evaluations with Suppliers on their own. With custom roles, these rights can be granted individually ("create Evaluations", "edit Evaluations", "conclude Evaluations", "share Evaluations with Suppliers").

Evaluation templates are set up and adapted for you by Tacto – please contact your Customer Value Manager or Support.

  • Individually: via the "Evaluations" tab in the relevant Supplier profile, or via a Supplier's row menu in the Supplier table ("Create new Evaluation").

  • In bulk: Select several Suppliers (up to 500) in the Supplier table and click "Create Evaluations". Template and name apply to all selected Suppliers – handy for recurring evaluation cycles across many Suppliers.

Only deleting an Evaluation is reserved for Key Users and administrators (see below).

How to start a Supplier Evaluation in Tacto

1. Select the Supplier

  • Navigate to the relevant Supplier profile.

  • Click the "Tools" tab → "Evaluations".

2. Start a new Evaluation

  • Click "Create new Evaluation".

  • Under "Select template", choose an existing template and enter a name. Please note: The template cannot be changed after the Evaluation has been created.

  • Click "Create Evaluation".

3. Carry out the Evaluation

  • Answer the questions in the template. Depending on the template, these may be numeric values (e.g. a scale from 1–5), single or multiple choice, yes/no questions, free-text fields, date fields, attachments or Documents from the Supplier profile.

  • The score is calculated automatically based on the logic defined in the template.

4. Conclude the Evaluation

  • Click "Conclude Evaluation" to conclude the Evaluation, or "Save only" to save your progress.

  • The concluded Evaluation is stored in the Supplier profile, visible to authorized users and can be used for analyses.

  • If needed, a concluded Evaluation can be edited again via "Reopen and edit".

Keep track of Evaluations centrally

The dedicated "Evaluations" menu item in the left navigation gives you an organization-wide, filterable overview of all Evaluations – not just your own open ones. Filter e.g. by Supplier, template, status (To do, In progress, Done), Responsible or date to see a Supplier's complete evaluation history or find all Evaluations updated in a quarter. You can also delete several Evaluations at once from here (Key User/admin rights required). You create new Evaluations in the Supplier profile or in the Supplier table.

Classification categories

By default, evaluation templates classify the result into three categories: 0–60 % Bad, 60–80 % Medium, 80–100 % Good. These thresholds can be adjusted individually per template and per section — as a percentage or as an absolute value. Alternatively, a two-level classification (Good/Bad, by default at 50 %) is also available. Please contact your Customer Value Manager for adjustments.

Documents in the Evaluation: approval status counts

If a Document (e.g. a certificate) is used as a criterion in an Evaluation and approval is required for the corresponding document type, the approval status directly affects the Evaluation: a pending or rejected Document is reflected accordingly in the Evaluation, not just its validity status. An approved Document is still rated as valid or expired based on its expiry date, as usual. Learn more in the article Document approvals.

Evaluations in the negotiation dossier

A Supplier's negotiation dossier shows evaluation data directly, provided the Evaluation module is active: for each category (Performance, Purchasing, Relationship), the latest concluded Evaluation with total score and breakdown by section. To see it, open the "Negotiation" tab in the Supplier profile and scroll to the "Supplier development" section.

Share an Evaluation with the Supplier

A concluded Evaluation can be shared with the Supplier directly from Tacto – without PDF export or sending it manually.

  • Share: Open the concluded Evaluation and click "Share with Supplier" (or click "Conclude and share" directly when concluding). Select the Supplier Contacts (or add new ones via "Create Contact") and optionally add a message to the Supplier.

  • Control visibility: Which sections and questions the Supplier sees (score only, all questions or selected questions) is defined per template. Via "Override visibility settings", you can adjust this for an individual Evaluation.

  • Share Tasks: Optionally per Task via "Shared with Supplier". The Supplier sees shared Tasks (name, description, status, due date) after sharing; later changes are updated automatically.

  • Tracking: In the overview, you can see who an Evaluation was shared with ("Shared with"), the email status per recipient and when the Supplier last opened it ("Last viewed"). Invitations can be resent.

  • Chat: Buyer and Supplier can chat directly on the shared result (see below).

The Supplier opens the shared Evaluation in the Supplier App via a link in the invitation email. They can download it as a PDF and share it with colleagues, but cannot edit the evaluation content itself.

Note: The sharing feature is not available to customers who only use the ESG/LkSG module without the full Evaluation module.

Delete a Supplier Evaluation

Supplier Evaluations can only be deleted by Key Users and administrators.

  1. Open the Evaluation and click "Actions" (three dots) at the top right – or open the Evaluation's row menu in the table.

  2. Click "Delete Evaluation" or "Delete" and confirm.

Responsible person per Evaluation

You can assign a responsible person to an Evaluation — separate from the person who created it. By default, the creator is also responsible. This lets you control who carries out an Evaluation.

What this means in practice:

  • The Responsible field is shown in the Evaluation's context panel and as a sortable and filterable column in the Evaluation table.

  • The Creator remains visible as a separate, read-only field.

  • Use the "My Evaluations" filter in the Evaluation overview to find all Evaluations you are responsible for.

How to assign a responsible person

  1. Open the Evaluation.

  2. In the "Responsible" field, select an active user of your organization.

  3. The assigned person is notified and finds the Evaluation on the dashboard under "My work" (as long as it is not concluded).

Requirements: Supplier Evaluation module and edit rights on the Evaluation. The responsible person is shown to the Supplier as the contact person.

Q: What happens when an Evaluation is reassigned?

A: The Evaluation moves from the previous person's work overview to the new person's; the new responsible person is notified.

Discuss evaluation results with the Supplier: chat on shared Evaluations

On an evaluation result shared with the Supplier, buyers and Suppliers can chat directly in Tacto – e.g. about individual evaluation items, the evaluation logic or actions.

What this means in practice:

  • A chat area on the shared evaluation result, on both the buyer and the Supplier side.

  • One conversation per shared result, so the discussion stays with the right Supplier and the right Evaluations.

  • The chat is two-way: Suppliers can respond, ask questions and discuss actions.

How it works: Open the shared evaluation result → open the chat area → write your message; the Supplier replies in the Supplier App or by replying to the email.

Requirements & access: Supplier Evaluation module and a concluded evaluation result shared with the Supplier. The person responsible for the Evaluation is notified when the Supplier writes.
