Delivery Reports

Here you will learn how the Delivery Reports evaluate your Suppliers' delivery reliability, quantity reliability and lead time and how to configure the calculation.

Overview

The Delivery Reports show the delivery performance of your Suppliers: Delivery reliability, Quantity reliability, Lead time and Open order value. These metrics serve as the basis for Supplier Evaluations in strategic procurement.

In the Overview tab, you will find charts on Delivery Performance, Delivery Status, Delivery Date Deviation and Lead Time; in the other tabs, you evaluate the metrics by Supplier, Category, Article, etc.

Prerequisites

  • Goods receipt and order data must be imported into Tacto.

  • Delivery Reports are always based on Orders.

Where else can I find the metrics?

  • KPI Analysis: in the metric selection under "Delivery performance". There, you can also select Goods Receipts as the transaction type.

  • Supplier tables and profile: as computed properties that you can add to Supplier tables or the profile view.

  • Negotiation dossier: the Delivery reliability and Quantity reliability metrics as well as the "Delivery performance" chart.

  • Supplier Evaluations: the computed properties can be stored as criteria in Evaluation templates.

Settings

You configure the following settings under Settings → Tools → Analytics in the "Delivery Performance Metrics" section:

  • Date Logic defines which days are counted when calculating delivery reliability and lead time. Options: Working days (Mon–Fri) or Calendar days.

  • Reference Date defines the point of comparison for assessing whether a delivery was on time. Options: Requested delivery date, First confirmed delivery date or Statistical delivery date. If the selected date is not available for an item, the requested delivery date is used as a fallback.

  • Tolerance for delivery reliability defines how many days before and after the reference date still count as on time. The early and late limits can be configured independently (default: 5 days before, 3 days after).

  • Tolerance for quantity reliability defines how much the delivered quantity may deviate from the ordered quantity to still count as complete. The under- and over-delivery limits can be configured as a percentage of the order quantity (default: 5% each).

Delivery reliability

Measures whether each order item was delivered within the defined tolerance window around the selected reference date. The result is the percentage of items delivered on time.

Formula: Delivery reliability = (items within tolerance ÷ total evaluated items) × 100%

Notes:

  • A period contains all order items whose first goods receipt falls within this period.

  • If an order item has several partial deliveries, only the first goods receipt is used.

  • If an item has several order confirmations, the first confirmation applies.

  • Items without a goods receipt (open or overdue) or without a reference date are not evaluated.

Quantity reliability

Measures whether the total delivered quantity per order item is within the defined tolerance of the ordered quantity. The result is the percentage of items delivered in the correct quantity.

Formula: Quantity reliability = (items within quantity tolerance ÷ total evaluated items) × 100%

Notes:

  • A period contains all order items whose first goods receipt falls within this period.

  • With several partial deliveries, all quantities are added up and then compared with the order quantity.

  • Returns (negative quantities) are taken into account; items with a total delivered quantity of zero are excluded.

Lead time

The average number of days between the order date and the first goods receipt date, across all evaluated items in the selected period. Whether calendar days or working days are counted depends on the Date Logic setting.

Formula: Ø Lead time = sum of all lead times ÷ number of evaluated items (lead time per item = first goods receipt date − order date).

Notes:

  • A period contains all order items whose first goods receipt falls within this period.

  • With several deliveries, only the first goods receipt is used.

Open order value

The open order value shows the value of orders that have been placed but not yet delivered as of a reference date. It is a point-in-time metric: it shows the stock of open orders on a specific day, not what was ordered during a period.

Formula: Open order value = sum of the order values of all items that have no goods receipt yet on the reference date.

Notes:

  • An order item counts as open until its first goods receipt is booked. As soon as the item has a goods receipt, it no longer counts towards the open order value, even in the case of partial deliveries. This matches the delivery status: items with the status “Open” or “Overdue” have no goods receipt yet.

  • The reference date is the last day of the selected period. In charts over time, the open order value is calculated for each time segment (e.g. month) as of the last day of that segment.

  • Orders placed before the selected period are included as long as they have not been delivered on the reference date. A goods receipt after the reference date does not reduce the open order value as of that date.

  • The open order value is always based on Orders and is displayed as the order value.

Delivery status and quantity status

For each order item, Tacto shows a delivery status and a quantity status, e.g. in the order tables and in the “Delivery Status” chart. Both statuses depend on the settings in the “Delivery Performance Metrics” section (reference date, date logic and tolerances).

Delivery status

  • On Time: The first goods receipt is within the tolerance window around the reference date.

  • Early: The first goods receipt is further before the reference date than the early limit allows.

  • Late: The item was delivered, but after the late limit had passed.

  • Open: There is no goods receipt yet, but the late limit has not been exceeded.

  • Overdue: There is no goods receipt yet and the late limit has already been exceeded.

  • No Reference Date: There is no reference date for the item. It cannot be evaluated.

Note: If you select Goods Receipts as the transaction type in the KPI Analysis, each individual delivery is evaluated (On Time, Early or Late); for Orders, the first goods receipt is evaluated.

Quantity status

  • Not Delivered: No delivered quantity has been booked yet.

  • Partial: The delivered quantity is below the order quantity minus the under-delivery limit.

  • Complete: The delivered quantity is within the tolerance around the order quantity.

  • Over Delivered: The delivered quantity is above the order quantity plus the over-delivery limit.

Note: With several partial deliveries, all quantities are added up and compared with the order quantity.
