Overview
Transaction data gives purchasing teams direct access to the raw data behind orders and invoices. It shows which data basis analyses and price developments in Analytics are built on, and can be adapted to your organization via filters and data cleaning.
What this means in practice:
Direct access to order and invoice items
Filterable and exportable views
Central data cleaning as a shared basis for all Analytics reports
Prerequisites
Access to transaction data in Tacto
Access to the Analytics module for the link to price developments
How to open the transactions module
In the sidebar, navigate to Transactions
Depending on the configuration, open Purchase requisitions, Orders, Goods Receipts, Invoices, Quality notifications or Quantity contracts
Alternatively, open transaction data directly from the price development:
Navigate to Analytics > Reports > Price Development
Right-click a table row in the Categories, Suppliers or Articles tabs
In the context menu, select e.g. Show orders, Show invoices, Show goods receipts, Show quality notifications or Show quantity contracts – the data opens in a dialog above the report
Key functions at a glance
Set filters
Narrow down transaction data by date, Category, Supplier, Article, order or invoice reference, item, delivery date, buyer, plant, purchasing organization, prices, quantities and label, among others. Incoterms and Incoterms location are available for orders and goods receipts.
Adjust the view
Sort columns by date, Supplier or amount and show or hide individual columns via the settings menu. Customer-specific properties cannot be added in this view.
Export
You export every transaction table as an XLSX or CSV file, limited to 10,000 rows per export. The currently filtered view is always exported.
Where do the figures come from?
Transaction data comes from the import of orders, invoices and goods receipts from your ERP system. The values shown correspond to the state at the time of the import. Changes that you subsequently make in the ERP system, such as adding or changing a Category, are not automatically transferred to Tacto and require a new import.
How to export transaction data
Open the transactions module and set the desired filters
Open the ⋮ menu (tooltip Export) above the table
Select Export as Excel file (.xlsx) or Export as CSV file (.csv) – the filtered view is exported (max. 10,000 rows)
The file is generated and ready for download
How to configure data cleaning in the settings
Data cleaning
Open Settings → Tools → Analytics (editing rights for the organization required)
In the Data cleaning section, define filter rules – separately for the KPI Analysis (also applies to delivery reports) and the Price Development –, e.g. to exclude certain Suppliers, Categories, Articles or labels. Use Apply data cleaning filters by default to control whether the rules apply automatically
Save the changes
Transaction labels
Select the relevant items under Orders or Invoices (labels only exist for these two areas)
Select the Assign labels action and one of the labels Sample, Credit note, Error, Launch or Cancellation (up to 10,000 items per operation)
Then take the label into account specifically in the data cleaning rules
Excluded data remains completely in the system and can be included again at any time.
Known limitations
Export is limited to 10,000 rows per operation
Customer-specific properties cannot be added in the transaction view
Data cleaning rules apply organization-wide (separately for KPI Analysis and Price Development); users can only switch them on or off temporarily in Analytics
Changes to Categories or other fields in the ERP system only affect Tacto after a new import
Permissions & access
Users with access to transaction data see the transactions module and the related overviews
Assigning labels requires the permission manage Analytics data cleaning; the data cleaning rules are maintained by users with editing rights for the organization
All other users use the centrally defined Analytics logic without being able to adjust it themselves
Frequently asked questions
Q: Are changes from the ERP system automatically updated in Tacto?
A: No. Transaction data reflects the state at the time of import; subsequent ERP changes require a new import.
Q: Can I export more than 10,000 rows at once?
A: Not via the standard export function. Narrow down the selection using filters or split the export into several operations.
