Overview
The Supplier Portal is your public page in your own branding, through which new Suppliers apply to you without registering.
What this means in practice:
The page is accessible without login in German and English, by default at
your-company.portal.tacto.ai(you define the portal address yourself; a custom domain is also possible)Suppliers see what your procurement stands for, what you are currently looking for and which information and Documents you provide
The application takes two steps; an automatic enrichment already starts after the first step
You maintain the content centrally under Settings → Workspace → Supplier Portal
What problem does this feature solve?
Your procurement gets its own public presence, through which suitable Suppliers apply on their own in just a few minutes – without an account, without a password and without manual data entry on your side.
Typical use cases
Active Supplier acquisition via trade fairs, flyers or email signatures
Self-applications from new Suppliers in an area you are looking for
Providing Documents such as purchasing conditions or a Supplier code of conduct for download
How it works
1. Prerequisites
The "Supplier Portal & Onboarding" module is enabled for your organization (please contact your Tacto Key Account Manager)
The Supplier Portal is activated in the settings
2. Build the public page
Open Settings → Workspace → Supplier Portal.
In the "Portal" section, define the portal address and the contact for Suppliers.
Under "Landing content", maintain the heading and introductory text ("Supplier page introduction"), your current needs under "Products and services you need" and, optionally, an introductory video ("Introduce procurement"). Highlight important entries with the star and drag and drop them into the desired order.
Under "Information for Suppliers", add information cards: either as an "External resource" (link to a website, e.g. your purchasing page) or as a "Document collection" (uploaded PDFs, e.g. purchasing conditions).
Activate the portal in the "Supplier portal" section using the "Enable supplier portal" toggle. Via "Preview portal" → "Open", you see the live page in a new tab.
3. How a Supplier applies
In the first step, the Supplier only enters their business email address (name and company optional).
They receive an email with a personal link. This link replaces the login and is valid for 7 days; expired links can be requested again on the page.
Via the link, they open the already pre-filled "Complete your application" form, add products or services, a short introduction of their company, matching entries from your needs as well as attachments (PDF, PNG or JPEG), among other things, and click "Submit application".
Permissions & access
Portal address and publishing: permission "configure Supplier Portal"
Page content and QR codes: permission "edit Supplier Portal content"
The public page itself is accessible to anyone without login.
Known limitations
As long as an application has not been completed and submitted via the link, it is invisible to your organization.
For security reasons, the application link is only valid for 7 days.
Frequently asked questions
Q: Do Suppliers have to register or create a password?
A: No. The application process works without an account and without a password; the personal link from the email serves as access.
Q: Why is the application form already partially filled in?
A: Tacto starts an initial enrichment based on the Supplier's email domain (e.g. company name, address, website and a suggestion for the short introduction). The Supplier can accept or correct the suggestions. For private email addresses (e.g. gmail.com), this pre-filling does not apply.
Q: How do I know through which channel a Supplier applied?
A: Through QR codes that you create with a name (e.g. "Hannover Messe 2026") in the settings under "QR codes". In the application list, this name appears in the "Source" column; without a QR code, "Direct link" is shown.
