Overview
Suppliers do not need their own Tacto account. They open the RFQ via the personal link in the invitation email and are guided through their response in a few steps. With "Preview RFQ", you see exactly this view in advance.
The steps for Suppliers
About this RFQ — invitation message, contact person, deadline and general documents.
Prices — the bid sheet with all requested Articles and quantities.
Commercial terms — e.g. currency, payment terms and Incoterms (if requested).
Additional information — comments, attachments and the quote's expiry date.
The Supplier then submits their response. You are notified about it.
Upload a quote and have it evaluated by AI
Suppliers do not have to transfer their prices manually: in the "Prices" step, they can upload their quote as a PDF, CSV or Excel file via "Upload your quote" or by drag and drop. Tacto's AI automatically fills in the bid sheet – even from scanned PDFs and in any language. For PDFs, the document and the recognized values are shown side by side. The Supplier checks the values, corrects them if needed and submits their quote as usual. Values that are not recognized remain empty.
💡 This also applies if you enter a quote received by email yourself via "Open response in new tab".
Further options for Suppliers
Decline position — do not quote for individual Articles.
Propose additional quantities — offer additional quantity tiers or lot sizes.
Edit response — revise a submitted quote until the deadline and resubmit it (new round).
Decline this RFQ — decline participation entirely; this can be undone until the deadline.
Share RFQ — involve colleagues.
Export as PDF — download their own response.
Messages — ask you questions via the chat.
Known limitations
After the deadline or after closing, the Supplier can no longer respond or change their response.
The page view of the uploaded PDF cannot be reopened after closing; the file has to be uploaded again for this.
Frequently asked questions
Q: Does the AI evaluation also work with scanned PDFs?
A: Yes. Tacto can also process image-based (scanned) PDFs and extract the relevant values.
Q: What happens if the Supplier's link has expired?
A: The Supplier can request a new link themselves at any time via "Receive a new link by email".
