Overview
After publishing, an RFQ has the tabs "Overview", "Comparison", "Award" and "About this RFQ" as well as a sidebar. This article describes everything you can do while it is running.
"Overview" tab
At the top, you see the most important key figures: "Responses received" (share and "X of Y responses"), "Duration", "Deadline" (remaining time) and "Views" (how many Suppliers have opened the RFQ).
Below, the table lists all invited Suppliers with their status (e.g. "Invitation emails delivered", "In progress", "Response received", "Declined") and the "Last viewed" column.
Sidebar
In the "Campaign" section, you see the status, responsible person(s), team, publication date and deadline, followed by the values of the internal fields. You can adjust internal information via "Edit internal information" even after publishing.
Invite more Suppliers
On the "Overview" tab, click "Invite Suppliers".
Select at least one Contact for the Supplier you want.
Click "Add Supplier Contacts" at the bottom right.
Confirm in the dialog ("You are inviting X new contacts") with "Invite".
Alternatively, select Suppliers in the Supplier overview and use "RFQ" → "Add to existing RFQ". 💡 Saved Supplier lists can only be added before publishing; afterwards, you select Contacts individually.
Change the deadline
In the sidebar, click the pencil icon next to the "Deadline" field and adjust the date. Only Contacts of Suppliers who have not yet responded automatically receive an email with the new deadline.
Actions per Supplier
In the three-dot menu at the end of a Supplier's row, you find:
"Send reminder" — reminds the Supplier of the RFQ (only as long as they have not yet responded).
"Manage contacts" — shows the invitation and email status per Contact. Here you can forward the personal link manually via "Copy RFQ link" or invite further Contacts of the same Supplier.
"Resend failed invitations" — if an invitation could not be delivered.
"Open response in new tab" — opens the RFQ from the Supplier's perspective (see below).
Enter responses on behalf of a Supplier
If a quote arrived by email or you renegotiated by phone, you can enter or correct the response yourself:
In the Supplier's three-dot menu, select "Open response in new tab".
At the top right, click "More" → "Edit response".
Enter the values or upload the quote via "Upload your quote".
💡 Only possible as long as the deadline has not passed. Declined RFQs can be reopened via "More" → "Withdraw rejection". Via "More", you can also "Export as PDF" the response.
Frequently asked questions
Q: Are automatic reminders sent to Suppliers?
A: No, there is no automatic reminder before the deadline. However, you can remind Suppliers manually at any time via "Send reminder". If you extend the deadline, all Suppliers who have not yet responded automatically receive an email with the new deadline.
Q: Can an RFQ link expire?
A: For security reasons, the link in the invitation is only valid for a limited time. If it has expired, the Supplier can request a new link themselves at any time via "Receive a new link by email". After the deadline, the Supplier can no longer edit the RFQ.
