Chat with Suppliers in the RFQ

Learn how to send messages to individual or all Suppliers in the RFQ chat and receive replies.

Overview

The chat in an RFQ lets you communicate with your Suppliers directly in Tacto – without the detour via an external email program. The exchange remains fully documented. The chat is available as soon as the RFQ has been published.

What this means in practice:

  • A separate conversation per invited Supplier, accessible via the messages window in the RFQ

  • Send messages to all Suppliers at once

  • Send attachments in the conversation with an individual Supplier

  • Suppliers reply via their RFQ page or directly by replying to the notification email

Send a message to a Supplier

  1. Open the RFQ.

  2. Open the messages window and select the conversation with the Supplier you want.

  3. Write your message and add an attachment if needed.

Send a message to all Suppliers

  1. Open the messages window in the RFQ.

  2. Select the "All" tab.

  3. Write the message and click "Send to all". Each Supplier receives the message individually in their own conversation – Suppliers cannot see each other.

How Suppliers reply

Via their RFQ page or directly by replying to the email. The email to Suppliers also contains the "Open request" button.

Notifications

Unread messages appear as a counter on the RFQ's messages window and in the "Unread messages" column of the RFQ overview. When a Supplier writes, the main contact and the team members of the RFQ are notified.

Known limitations

  • Messages to all Suppliers can only contain text; send attachments in the conversation with the individual Supplier.

  • If Suppliers reply from their email program, signatures or disclaimers may be carried over into the chat.

Frequently asked questions

Q: Do the chat emails end up in the Suppliers' spam folder?

A: The chat emails are subject to the same security checks as all emails from Tacto. Even if a message lands in spam, the Supplier still sees it in the chat on their RFQ page.
