Introduction
In the settings under "Requests", you will find three areas: "Forms", "Item Templates" and "Attributes". Via "Forms", Key Users and administrators can view, edit, duplicate and delete existing templates and create new templates.
Create a Request form
To create a new template, click "+ Create Template" at the top right. First give the template a name and choose a Request category. Depending on your account's configuration, the following are available:
Supplier and Article (if Article Requests are activated), or
SSA, ESG, REACH and RFQ
Set-up of internal information
In the next step, you are taken to the "Set-up of internal information" tab.
The following properties must be specified for every Request and are therefore added to the template automatically: Request Title, Responsible, Due Date.
Via "Link internal information", you can have the creator of the Request fill in further internal information, e.g. a project number to which the Request can be assigned.
Edit the Supplier form
Under Settings → Requests → Forms, open the desired template. At the top, you will find the "Set-up of internal information" and "Supplier form" tabs. (Templates of the "Article" category open a separate editor without these tabs – see "Create and edit templates for Article Requests".)
The actual Request template is created in the "Supplier form" tab.
Depending on the type of Request, the structure can vary greatly.
In principle, a Request consists of one or more pages, marked by a purple "Page" label; pages can be named individually.
A page can contain several sections, which are added via the "+" icon ("Add a new section"). The same icon can also be used to add a "New page" under "Page Divider".
It is helpful to start a Request with a "Message to the Supplier" so that Suppliers know which information they will need to provide in the course of the Request.
When adding a new section, you can choose between "Prebuild Sections" (well suited for a Supplier onboarding, e.g. Contacts, company address, bank details, certificates, annual revenue, Document request, Articles) and "Custom Sections" (request Supplier properties, define Document requirements).
Predefined sections can be made mandatory as a whole ("Should the data be requested on a mandatory basis?"); for custom sections, you define the requirement for each property or Document individually via the "required?" toggle.
In the "Contacts" section, you can specify under "Required Departments" for which departments your Suppliers must provide a Contact.
