Request, delivery, response and review statuses explained

Here you will learn what the different statuses of Requests, email delivery, responses and review mean.

Status in the Supplier Requests overview

Requests go through the following statuses:

  1. Draft — after a Request has been created, it is saved as a draft.

  2. Published — as soon as a Request is sent to Suppliers, the status changes to published.

  3. Closed — published Requests can be closed manually. This mainly serves to keep things clear, similar to an archive function. Once closed, Requests cannot be reopened.

You can filter by this status in the Request overview. In addition, each Supplier in the Request has an individual status and review status.

Status in the Overview tab of a Request

In the "Overview" tab of a Request, the "Status" column shows the current state per Supplier — first the delivery status of the email and, as soon as the Supplier becomes active, the response status:

  • Email delivered — the Request was delivered successfully.

  • Email failed — the Request could not be delivered, e.g. because the recipient server does not accept the email, the inbox is full, the email address is wrong or our sender server was temporarily listed as spam. If a Request was sent to two email addresses, Support can tell you which of the addresses caused the error.

If your Suppliers do not receive Requests from Tacto, ask them to allowlist the sender address — by default "[email protected]" or the address of your own email domain, if you have set one up. This can be done by creating a contact with this email address or by adding the address to a whitelist.

  • Email status unknown — firewalls sometimes prevent tracking of the delivery status. If this occurs frequently in a Request, please contact Support.

  • Response in progress — the recipient has opened the Request and started working on it; responses are saved but not yet finally submitted.

  • Answer received — the recipient has filled in and submitted the Request.

  • Rejected — the Supplier has declined the Request, stating a reason.

Response status

  • Answer pending — the Supplier has not yet started working on it.

  • In progress — the Supplier has started working on it but has not yet submitted.

  • Answer received — the Supplier has submitted the Request.

  • Rejected — the Supplier has declined the Request.

  • Answer not received — the Request was closed without the Supplier responding.

Review status

In addition to the status, the review status in the "Overview" tab shows whether you have already reviewed a received response:

  • Not reviewed — the response has not yet been marked as reviewed.

  • Reviewed — you have reviewed the response in the "Responses" tab; who carried out the review and when is also shown.

Only submitted responses can be reviewed.
