Overview
Contacts can be deactivated or deleted – two different actions with different consequences.
What this means in practice:
Deactivating marks a Contact as inactive and can be undone by yourself at any time
Deleting visibly removes a Contact from the application; it can only be restored by Tacto Support
Deleting is also possible for several Contacts at once; deactivating and activating are done for each Contact individually
What problem does this feature solve?
Contact persons who are no longer active should disappear from active use without losing their history – such as linked meeting notes.
Typical use cases:
A contact person has left the Supplier
Cleaning up duplicate or outdated Contacts after an import
How it works
1. Prerequisites
To deactivate/activate: permission to edit Contacts
To delete: separate permission to delete Contacts
2. Deactivate or activate a Contact
Open the Contact in question in the Contact overview.
In the row menu, select Deactivate Contact – the status changes immediately, without further confirmation.
To make the Contact usable again, select Activate Contact.
3. Delete one or more Contacts
Select the Contact(s) in question in the Contact overview.
Select the delete action.
Confirm the notice that linked information will also be removed.
Permissions & access
Deactivating and activating require the permission to edit Contacts.
Deleting requires a separate permission to delete Contacts.
Known limitations
A deleted Contact cannot be restored via the interface itself – only Tacto Support can do this. It is then also not possible to create a new Contact with the same email address; instead, reactivate a deactivated Contact or, for deleted Contacts, contact Support.
There is currently no fixed limit for deleting several Contacts at once; check your selection carefully before confirming.
Frequently asked questions
Q: What is the difference between deactivating and deleting?
A: A deactivated Contact is retained and can be reactivated by yourself at any time. A deleted Contact disappears from the application; it can only be restored by Tacto Support.
Q: Are linked meeting notes lost when deactivating?
A: No, a deactivated Contact remains visible with its previous history; it just can no longer be newly selected.
Q: Can I restore a deleted Contact?
A: Not via the interface. Please contact Tacto Support for this.

Note: Deleted Contacts are technically archived and may therefore appear in detail views with the status "Archived". There is no separate "Archive" action.
