Overview
The Contacts module brings together all contact persons of your Suppliers in one place – as a global list across all Suppliers and as a tab in the respective Supplier profile.
What this means in practice:
A global Contact overview with filters and bulk functions
The same Contacts directly in the Contacts tab of the respective Supplier profile
Contacts can be linked to meeting notes, tenders and Requests
What problem does this feature solve?
Without central Contact management, contact persons are spread across emails, spreadsheets or individual mailboxes. The Contacts module makes them searchable, maintainable and directly usable in other Tacto features.
Typical use cases:
See all contact persons of a Supplier at a glance
Select suitable Contacts before a tender or Request
Import or maintain Contacts in larger numbers
How it works
1. Prerequisites
Permission to view Contacts
For further actions: a separate permission in each case (see Permissions & access)
2. Find Contacts
Global view via the Contacts navigation item, with filters across all Suppliers
Supplier-specific view in the Contacts tab of the respective Supplier profile
3. Create a Contact
Open the Contact overview (global or in the Supplier profile).
Start creating a new Contact.
Enter first and last name, email address and the associated Supplier, and optionally phone number and language.
In the second step, optionally add department, position, responsibility and organization-specific attributes.
4. Edit and import Contacts
Existing Contacts can be edited at any time; the email address and the assigned Supplier can no longer be changed after creation.
For larger amounts of data, an import via CSV or Excel file is available (Add new → Contact Import).
5. Use Contacts in other features
Clicking a Contact's phone number automatically opens a new meeting note with this Contact as a participant (provided you have the permission access Activities and the Contact is assigned to a Supplier).
Contacts can be added as participants to tenders and Requests.
If a Contact has the responsibility "Price requests for Articles", they are automatically added as a participant as soon as their Supplier is added to a tender (RfQ). Conversely, Contacts that you add to a tender automatically receive this responsibility.
Permissions & access
Viewing, creating, editing and deleting Contacts are four separate permissions – a person may, for example, be allowed to view Contacts but not delete them.
Known limitations
There is no concept of a "main contact" – all Contacts of a Supplier have equal rank.
A Contact's email address cannot be changed after creation.
Frequently asked questions
Q: What is a Contact's preferred language used for?
A: It determines the language in which automated communication to this Contact is sent; if no language is stored, the country's language is used instead, otherwise English.
Q: Can I import Contacts in bulk?
A: Yes, via Add new → Contact Import in the Contact overview (CSV or Excel file).
Q: Why does a new note open automatically when I click a phone number?
A: This is a deliberate link to the activities – this way, a phone call can be documented directly, provided this feature is activated for you.
