Evaluate quotes and renegotiate in several rounds

Learn how to compare quotes on the Comparison tab, convert currencies and renegotiate in several rounds.

Overview

On the "Comparison" tab, you see all submitted quotes broken down by Supplier and Article. Here you compare prices and conditions, convert foreign currencies, track price changes over several rounds and export the data.

Compare quotes

  • Compare quotes in terms of total costs, payment terms and other details.

  • Article line items can be selected flexibly and quantities adjusted; payment terms can also be changed – the total costs adjust automatically.

  • Use the "Transpose table" icon in the "Article" column header to swap rows and columns – also for Articles with several quantities. If an Article contains several quantity tiers, no totals are calculated in the transposed view.

Multiple currencies

If you allowed quotes in other currencies, Tacto automatically converts them into your base currency based on the current ECB reference rates. Use the three-dot menu in the toolbar to open the "Currency settings": there you can display quotes in the original currency or store your own exchange rates instead of the ECB rates. When the RFQ is closed or awarded, the exchange rates are frozen.

Renegotiate in several rounds

Suppliers can revise and resubmit their quote until the deadline. Each resubmission is saved as a new round – the complete price history remains visible to both sides without you having to duplicate the RFQ.

  1. Give the Suppliers feedback on their quote, e.g. via the chat in the RFQ.

  2. Extend the deadline via the sidebar if needed.

  3. The Supplier clicks "Edit response", adjusts their prices and resubmits the quote. You receive the same notification as for a first response.

  4. In the comparison, hover over a price cell: you see all rounds with date, price and the discount compared to round 1.

  5. Optionally, show the columns "Round X (Price per unit)" and "Discount" per Supplier; for the discount, choose in the column header which round to compare with.

Suppliers only ever see their own quotes and their own price history – never the quotes of other Suppliers.

Export quote data

"Export current view" gives you an Excel file, "Export raw data" a CSV file. After the award, both exports contain the "Awarded Supplier" column.

Known limitations

  • A round is not opened actively: a new round is created as soon as a Supplier resubmits their quote.

  • After the deadline or after closing, resubmission is no longer possible – extend the deadline if needed.

Frequently asked questions

Q: Do Suppliers see each other's quotes from the previous round?

A: No. Suppliers only see their own quotes and their own price history.

Q: What does "proposed this quantity" mean?

A: Suppliers can offer additional quantity tiers or lot sizes via "Propose additional quantities". These are shown to you in the comparison as a proposed quantity.
