Record and track savings Opportunities

Learn how to create, edit and complete savings Opportunities and cost avoidance in Tacto.

Overview

In Tacto, you record and track your procurement team's savings Opportunities, from the first idea to realization. Findings can be converted directly into Opportunities; you create your own initiatives manually. You can see the results in the Dashboard under Savings.

What problem does this feature solve?

Procurement teams achieve savings through many channels: negotiations, tenders, their own initiatives. Without a central tool, these results end up in spreadsheets maintained in parallel. Tacto is the central place for savings achieved by procurement:

  • Reliable figures for the team and management without shadow spreadsheets

  • All savings sources visible in one place

  • A traceable basis for reports and budget planning

Create Opportunities

You can find your Opportunities in the sidebar under Savings, Opportunities.

a) From a Finding

  1. Open an open Finding.

  2. Click "Start processing".

  3. Select "Create as new opportunity" or "Link to existing opportunity" (recommended for related Findings on the same Supplier or the same initiative).

  4. The Opportunity is created or linked, and the Finding receives the status Accepted.

b) Manually

  1. Open Savings, Opportunities.

  2. Click "Add opportunity".

  3. Fill in the description, status and links, and save.

c) From other areas

Opportunities can also be created from an awarded RFQ, a cost model, a Supplier profile or a meeting.

Edit Opportunities

An Opportunity contains:

  • Status: Idea, Planned, In Progress, Completed or Cancelled. The start date and end date are set automatically when switching to In Progress or Completed.

  • Responsible person and "Effective from" (from when the saving takes effect)

  • Description of the Opportunity

  • Savings: one row per Article with baseline price, new price and quantity

  • Links to Suppliers, Categories, Articles, plants, Findings, RFQs, Tasks, cost models and meetings

  • Suggested actions: Create RFQ, Create a Task, Prepare negotiation

Complete an Opportunity

For a saving to be counted as realized in the Dashboard, the Opportunity must be completed and have an "Effective from" date.

  1. Open the Opportunity.

  2. Check the savings: baseline price, new price and quantity per row.

  3. In the context panel, set the "Effective from" date. From this date, the saving takes effect in your P&L and is spread evenly over 12 months.

  4. Set the status to Completed. The end date is automatically set to today.

Important: Without "Effective from", a completed Opportunity is not counted in the Dashboard views "Savings Impact" and "Cost avoidance", but only in "Procurement Results" (this view books by completion date). The date is not set automatically on completion, not even for Opportunities created from Findings or RFQ awards.

Tip: If individual savings rows apply from a different date, you can also set "Effective from" per row. Rows without their own date take over the date of the Opportunity.

Have Findings assigned automatically

With the "Auto-assign Findings" setting (Settings, Savings), Tacto Intelligence automatically assigns new Findings to the right person based on previous assignment patterns. The setting must be enabled.

Bundle several Findings into one Opportunity

  1. In the list of open Findings, select the desired Findings using multi-select.

  2. Click "Bundle into opportunity".

  3. Choose whether to create a new Opportunity or link an existing one.

  4. Review the rows per Finding and confirm. All selected Findings are linked, the affected Suppliers and Articles are linked automatically, and the Findings receive the status Accepted.

Findings with different currencies cannot be bundled together. Linked Findings can be removed again later in the links of the Opportunity.

Record savings from meetings

From a meeting with a Supplier, you can record a saving directly via "Log savings via Opportunity", either in an existing Opportunity or in one that is created automatically. This feature is enabled per customer.

Record cost avoidance

In addition to savings, you also document cost avoidance in Tacto, i.e. prevented or reduced price increases. Both metrics are calculated and reported separately.

Example: A Supplier demands +8%, and +2% is agreed. The cost avoidance amounts to 6 percentage points; the actual price effect remains the increase of +2%.

How to record cost avoidance:

  1. Open the Opportunity.

  2. In the savings, enter the demand, baseline price, new price and quantity. Demand and new price can be entered as a percentage of the baseline price.

  3. Enter the baseline price manually or apply it via "Pull baseline from last order price" (optionally with a period).

  4. Save. The avoided amount appears in the "Avoided" column and in the Cost avoidance Dashboard view.

Known limitations of cost avoidance:

  • One demand and one result per row; multiple negotiation rounds are not mapped individually.

  • No automatic annualization; the quantity is entered manually.

  • For Opportunities from an RFQ award, no demand is carried over, but it can be added afterwards.

Permissions & access

  • Opportunities and the Dashboard are visible to Users with permission to view Opportunities. Creating, editing and deleting are permissioned separately.

  • Users with "view Findings" automatically also receive read access to Opportunities.

FAQ

Q: Why does my completed Opportunity not appear in the "Savings Impact" view?

A: The "Effective from" date is probably missing. Set it in the Opportunity; the saving will then be counted from this date.

Q: When should "Link to existing opportunity" be selected?

A: Whenever a new Finding concerns the same initiative, the same Supplier or the same activity that is already being worked on. This avoids duplicates.

Q: Can Opportunities be created without a prior Finding?

A: Yes. Your own initiatives can be created at any time under Savings, Opportunities via "Add opportunity".

Q: Does cost avoidance change my existing savings?

A: No. Savings and cost avoidance are calculated and reported separately.
