Further Document features: properties, metadata detection & file preview

Learn how to maintain Document properties, use metadata detection, open files in the preview and archive Documents.

Document properties

In addition to the standard fields, custom properties can be maintained for Documents. Administrators define these fields in the settings under Documents → Internal fields – for example as a text field, number, date, single or multi-select.

What this means in practice:

  • Custom fields can be edited directly on the Document.

  • In the Documents table, you use the properties as columns or filters.

Metadata detection for Document uploads: also for CSV and Excel

When a Document is uploaded, Tacto automatically extracts relevant metadata and assigns it to the Supplier. In addition to the formats supported so far, this automatic detection is also available for files in .csv and .xlsx format.

Available to all users with access to Documents.

How do I open an Office file in the preview?

Office files – Word, Excel and PowerPoint documents (PowerPoint only in .pptx format) – can be opened and viewed directly in the preview in Tacto without downloading the file first. To do so, open the Document in the Document overview or via the Document sidebar; the content is shown in the preview.

Archive Documents

Select Archive in a Document's ⋯ menu; Restore undoes this. In the Documents table, up to 200 Documents can be archived at the same time. Archived Documents are read-only, not visible to Suppliers and no longer trigger automatic renewal requests. The permission archive Documents is required.
