Send Tacto emails from your custom domain

Learn how to set up, verify and, if problems occur, deactivate a custom sender domain for Tacto emails.

By default, Tacto sends emails from a Tacto address. You can set up your own sender domain so that outgoing emails come from your own brand (e.g. [email protected]). This improves recognition and usually increases deliverability.

Before you start

  • A domain whose DNS records you can edit (or someone who can do this for you).

  • Permission to edit the workspace settings (admins and Key Users).

  • About 10 minutes of work + up to 24–48 hours of waiting for DNS propagation.

Choose a sender subdomain

Required: a dedicated subdomain (procurement.yourorganization.com) instead of your main domain – it doesn't conflict with your existing email configuration, has an independent reputation and can be removed at any time.

Step-by-step setup

  1. Open Settings → Workspace → General Settings → Email domain.

  2. Click Set up custom domain.

  3. Enter: Domain (your subdomain), Display name (shown in the sender field), Email address (the part before the @).

  4. Add domain – Tacto shows the required DNS records.

  5. Add each record at your DNS provider (use the copy buttons).

  6. Wait for DNS propagation (minutes up to 24–48 hours).

  7. Verify DNS records – if successful, the status changes to Active.

  8. Send test email to a mailbox you can access.

  9. Turn on the Send emails from your custom domain toggle (can be turned off again at any time – falls back to the default address).

DNS records & common mistakes

Tacto shows the Host and Value for each record. Common pitfalls: duplicated domain (your provider appends the domain automatically → shorten to s1._domainkey.procurement if needed), trailing dot, double quotes around TXT values, truncated (long) DKIM values.

If verification fails

Most common causes: DNS not yet propagated (wait 10–15 minutes), wrong host name, truncated value, wrong record type (TXT/CNAME/MX), SPF conflict on the parent domain.

If the test email doesn't arrive

Check spam/junk, rule out internal mail filters (send a test to a private address), verify DNS again (the status only updates when you click).

Deactivate or delete

The toggle can be turned off at any time; Tacto then falls back to the default address. The same applies when you delete the domain completely. A safe emergency switch in case of delivery problems.

FAQ

Main domain instead of subdomain? No, a dedicated subdomain is required for Tacto to send emails from. Can the custom domain receive replies? No, it's for sending only; replies go to the reply-to address. Why MX records? Some receiving servers reject emails without an MX record. Key storage? DKIM keys are managed securely by the email provider; rotate them by removing and re-registering the domain. Need help? Send the domain name + error message to Tacto Support.
