Overview
In the RFQ module, you can log an awarding decision directly in Tacto after comparing quotes.
Either award the entire RFQ to one supplier, or award individual line items to different suppliers. After awarding, the RFQ automatically changes to the status “Awarded”, and any savings achieved can be captured immediately.
Prerequisites
– The Sourcing & RFQ module must be active in your account.
– You need the “Publish and close Requests, award RFQs“ permission in Tacto.
How to award an RFQ
Open the RFQ and navigate to the Award tab.
Click Award Campaign.
Select an awarding method:
Cheapest takes all — automatically selects the supplier with the cheapest package overall
Cherry picking — you select per line item
Depending on the awarding method, select the desired supplier overall or per line item (or "No supplier" if no offer is accepted for that line item or overall).
Optionally add an internal note documenting the reasoning behind the award.
Click Award — the RFQ moves to "Awarded" status.
Log realized savings related to the RFQ and link the saving to the respective suppliers and articles
Capturing savings after awarding
After awarding, Tacto automatically checks whether savings were achieved compared to historical prices and prompts you to log the saving. You can skip the dialog and create the savings initiative manually later in the Savings section.
Editing an award decision
Open the awarded RFQ.
Navigate to the Award tab.
Click Edit award and adjust the selection.
Permissions & access
Only users with the permission ****“Publish and close Requests, award RFQs“ can award or retrospectively edit an award.
All team members on the RFQ receive an email notification when an award is completed.
The awarded supplier is included in Excel and raw data exports.
Transposing the quote comparison
In a request's quote comparison, you can transpose the table view, swapping rows and columns. This view is also available for articles with multiple quantities.
What this means in practice:
A clearer comparison when you want to view many data points per article
Transposing also works for articles with multiple quantities
How to transpose the quote comparison
Open the quote comparison of a request.
Click Transpose view.
Rows and columns are displayed swapped.
Known limitations
Suppliers do not currently receive an automatic notification about the award outcome
Communication must be done manually outside Tacto.
If an article has multiple quantities, no total row value is shown in the transposed view.
Frequently asked questions
Q: Can I award multiple suppliers for the same line item?
A: No. Exactly one supplier (or "No supplier") can be selected per line item. Different suppliers can be awarded across different line items (cherry-picking).
Q: What happens to the exchange rate in a multi-currency RFQ?
A: Exchange rates are frozen at the time of awarding and used for all further calculations of that RFQ.
Q: Can I undo an award?
A: An award can be adjusted via "Edit award". A full reset to the pre-award comparison state is not possible.
