Overview
Meeting notes give you a central place to document supplier conversations — phone calls, video meetings, and in-person visits — directly on the supplier profile. Notes are automatically summarised by AI and feed into the AI agents (Price Defence, Negotiation Prep).
Prerequisites
The SRM module must be active in your account.
Creating a meeting note
Navigate to the supplier profile of the relevant supplier.
Click New meeting note in the Overview tab.
Select the meeting type (phone call, video call, or in-person meeting) and the date.
Add participants.
Enter the meeting content in the text editor. Formatting, images, and file attachments are supported.
In addition, you can link any Tacto components using the “@” function - for example, articles, documents, supplier contacts, and Tacto users. If you mention a Tacto user in a note, that person will automatically receive a notification in Tacto (and later by email as well).
The note is saved automatically — no manual saving required.
Creating tasks directly from a meeting note
To create a follow-up task directly from the note:
Click Create task within the meeting note.
Enter the title, due date, and responsible person.
The task is immediately linked to the meeting note and visible in the task module.
Click-to-Call: Start a note from a contact profile
Click on a supplier contact's phone number — Tacto automatically opens a new meeting note with that contact pre-filled as a participant.
Usage by our Agents for price increase counter-argumentation and negotiation preparation
If the Negotiation Cockpit is activated, the Price Defence Agent and the Negotiation Preparation Agent automatically draw on your meeting notes — the more you document, the more precise their answers. The actual negotiation preparation is documented in the negotiation notes.
Permissions & access
All SRM users can create, view, and edit meeting notes on supplier profiles they have access to. No additional permissions are required.
Known limitations
Search, filtering, or sorting within the meeting notes overview is not currently available. These features will be added once the volume of notes per customer makes navigation necessary.
Frequently asked questions
Q: What is the difference between meeting notes and negotiation notes?
A: Meeting notes document supplier conversations (phone calls, video calls, in-person meetings) — they always have a date and participants. Negotiation notes are for negotiation preparation. General supplier information (e.g. LinkedIn, ownership changes) belongs in custom properties or free-text fields — not in meeting notes.
Q: Are meeting notes available if we only have the Analytics module?
A: No. Meeting notes are only available to customers with the SRM module active.
Q: Can savings be linked to a meeting note?
A: Yes. Via the meeting note's sidebar, documented negotiation outcomes can be linked directly to savings initiatives.
