Overview
Using the Chat inside an RFQ, you communicate with your suppliers directly in Tacto – without switching to an external email client. All messages for an RFQ are bundled in one place.
What this means in practice:
– A dedicated chat area per supplier in the RFQ detail view
– Suppliers reply via their RFQ page (magic link) or by replying to the email directly
– Unread messages are shown with a counter in the RFQ overview
– Send a message to all suppliers at once (broadcast)
– Send attachments directly in the chat
What problem does this feature solve?
A large part of the communication during an RFQ consists of follow-up questions and coordination with suppliers. With the chat, this exchange takes place directly in Tacto and stays fully documented.
Typical use cases:
– Clarify questions about line items, quantities or technical requirements
– Request additional documents from suppliers
– Send one piece of information to all participating suppliers at once
How it works
1. Prerequisites
– The Sourcing & RFQ module must be active in your account.
– You need access to the relevant RFQ.
2. Sending messages to a single supplier
Open the RFQ and switch to the detail view.
Open the Chat area for the supplier you want to reach.
Write your message and add an attachment if needed.
Send the message.
3. Sending one message to all suppliers (broadcast)
Open the chat in the RFQ.
Select the option to send the message to all suppliers.
Write the message once – it is delivered to each supplier individually.
4. How suppliers reply
– Suppliers open the conversation via their RFQ page (magic link).
– Alternatively, they reply directly to the email notification. Emails to suppliers are sent from the address @chat.tacto.ai and include a login button.
Notifications
– New messages from suppliers are shown to you in Tacto.
– Unread messages appear with a counter in a dedicated column in the RFQ overview.
– If a notification stays unread, you also receive an email from [email protected].
Permissions & access
– Buyers or owners of an RFQ can send and receive messages within their RFQs.
– Suppliers only see their own conversation for the respective RFQ.
Known limitations
– Custom email domain: Chat emails are always sent from @chat.tacto.ai, even if a custom email domain is set up for your account.
– Signatures in replies: When suppliers reply from their email client, signatures or disclaimers can be carried over into the chat.
– Reply address: When replying directly from the email, suppliers see a technical-looking reply address. As a buyer, you do not see it – you only see the plain message in the chat.
Frequently asked questions
Q: Do the chat emails land in suppliers' spam folders?
A: The address @chat.tacto.ai is subject to the same security checks as any @tacto.ai address and is delivered with normal whitelisting. Even if a message does land in spam, it is not lost – the supplier still sees it in the chat within the supplier view.
Q: Which addresses do the notifications come from?
A: Messages to suppliers come from @chat.tacto.ai. You are notified in Tacto; if a notification stays unread, you also receive an email from [email protected].
Q: Does my custom email domain also apply to the chat?
A: No. Chat emails are sent from @chat.tacto.ai regardless of any custom domain that is set up.
