Running an RFQ over Multiple Rounds

Overview

You can run an RFQ over several negotiation rounds within the same RFQ. Offers are stored as versions, so the full price history stays visible for both sides.

What this means in practice:

  • Multiple rounds within one RFQ – open a new round and re-invite the suppliers you want back

  • Suppliers can edit and resubmit their offer instead of withdrawing it

  • A dedicated supplier view with the history of their previous offers

  • The comparison table shows the delta between rounds and a round history

  • A notification when a new round is opened


Which problem does this feature solve?

Many RFQs require renegotiation. With rounds, the link to the original offers is kept and the price history is not lost.

Typical use cases:

  • Competitive RFQs that are awarded in rounds by default

  • Anchoring a second round on the lowest price from the first round


How it works

1. Prerequisites

  • Access to the RFQ module

  • The RFQ owner role to open new rounds


2. Starting a new round

  1. Open the relevant RFQ

  2. Open a new round

  3. Select the suppliers you want to invite back

  4. Invite the suppliers into the next round via Chat


3. Comparing offers

  1. Open the comparison table

  2. The delta column shows the change compared to the previous round

  3. The round history shows the progression per line item


Permissions & access

  • RFQ owners open rounds, decide which suppliers are invited back, and see the cross-round comparison

  • Suppliers only ever see their own offers and their own price history – never other suppliers' offers

  • No new roles required


Known limitations

  • The round flow is manual: selecting and inviting suppliers for the next round is done by the RFQ owner

  • One quantity per line item is supported; alternative quantities per round are not possible

  • Inviting suppliers into the next round happens via Chat, so its limitations apply

Q: Do I need to duplicate the RFQ for a second round?

A: No. You open a new round within the same RFQ; the previous offers stay linked and comparable.

Q: Can suppliers see the others' offers from the previous round?

A: No. Suppliers only see their own offers and their own price history.
