Ad hoc risk analysis

How to carry out the ad hoc ESG risk analysis when there are concrete indications of a violation.

Overview

This article explains the ad hoc risk analysis under the LkSG and how to carry it out in the Tacto App as an ESG Evaluation.

Relevant if you have concrete indications of a violation at a supplier, for example from a complaint or a supplier visit.

Suppliers with a score below 80 require remedial measures; from 80, the incident is considered not confirmed.

Note: Evaluation templates, Request forms, score formulas, score thresholds and table views are configured per customer. The names and thresholds mentioned here describe Tacto's standard configuration – your configuration may differ.

What is the ad hoc risk analysis?

The ad hoc risk analysis is based on concrete facts. It is independent of the abstract and concrete risk analysis, which are based on a general risk model.

When do you carry it out?

As soon as you become aware of a concrete incident, for example:

  • a substantiated complaint submitted through your complaints procedure

  • prior knowledge of your buyers, for example from supplier visits

  • other internal findings or reports indicating a possible violation

How it works

1. Create an Evaluation

  1. In the Suppliers module, find the supplier concerned.

  2. Right-click the supplier and select Create new Evaluation.

  3. Under Select Evaluation template, choose the template "ESG risk analysis – Ad hoc evaluation" and click Create Evaluation.

2. Enter information about the violation

Record the known violation, including the affected legal position.

3. Request a self-assessment

For a more in-depth investigation, request information directly from the supplier. To do this, set the self-assessment question to "Yes".

  • Use one of the supplier self-assessment Request forms. They are identical to the self-assessment of the concrete risk analysis.

  • In the Evaluation's side panel, click Create assessment, select the form and send the Request to the supplier.

  • The supplier's answers are transferred to the Evaluation automatically.

4. Evaluation and score

  • Once the answers have been received, they are evaluated automatically and converted into a score.

  • The questionnaire distinguishes between questions that uncover violations and questions about internal processes. A reported violation leads directly to an overall score of 0.

  • In all other cases, the answers are evaluated on a weighted basis.

  • Score below 80: The supplier appears as a "Red flag" supplier in the "Suspicious suppliers" table view. Initiate remedial measures.

  • Score of 80 or higher: The incident is considered not confirmed.

5. Conclude the Evaluation

Click Conclude Evaluation and confirm in the dialog.
